This Booking Agreement Summary outlines the key information relating to your booking with Down Memory Lane. It works alongside our full Terms of Service and Privacy Policy.

By confirming your booking, you agree to the following:

1. Our Service

Down Memory Lane provides camcorder hire and optional editing services designed to capture candid, authentic moments from your event.

Our service is intentionally different from traditional videography. Footage is guest-filmed, naturally imperfect, and designed to reflect the real atmosphere and emotion of your day.

Because of the nature of the service, we cannot guarantee:

  • Specific moments will be captured

  • Professional audio quality

  • Perfect framing, lighting, or stability

  • Continuous recording throughout the event

2. Booking & Payment

All bookings are date-specific and subject to availability.

Booking process

To secure your date, the following process applies:

  • You enquire and we confirm availability for your selected date

  • Once availability is confirmed, your chosen date and equipment will be placed on hold for 48 hours

  • During this 48-hour hold period, full payment is required to confirm your booking

  • If payment is not received within 48 hours, the hold will be released and the date/equipment will become available for other bookings

Confirmation

Your booking is only confirmed once:

  • Full payment has been received, and

  • You have received written confirmation from Down Memory Lane

Payment

Full payment is required to secure all bookings.

3. Shipping & Delivery

Your equipment kit will be shipped to the delivery address provided during booking.

Please ensure:

  • Your shipping details are accurate and complete

  • Someone is available to receive the parcel if required

  • You contact us immediately if your address changes

All hires include a prepaid return courier label and return instructions.

Equipment must be returned using the supplied packaging and return label only.

If your return label is lost or damaged, please contact us before returning your equipment.

We are not responsible for courier delays caused by factors outside our control, including:

  • Weather events

  • Public holidays

  • Courier backlogs or disruptions

4. Returns & Late Fees

All equipment must be returned by the agreed return date.

Late returns may incur a late fee of $50 NZD per day, per camcorder.

To avoid delays or additional fees:

  • Package all items securely

  • Use the supplied return packaging

  • Lodge or arrange courier collection on time

Editing will not begin until all equipment has been returned.

5. Equipment Responsibility

While the equipment is in your care, you are responsible for:

  • Safe handling and reasonable care

  • Preventing loss, theft, or damage

  • Following all provided instructions

Equipment must not be:

  • Submerged in water

  • Exposed to excessive sand, saltwater, smoke, or extreme conditions

  • Tampered with or repaired

Loss, theft, or major damage may result in repair or replacement costs.

Where purchased, Gear Protection may cover accidental physical damage only and does not cover:

  • Loss or theft

  • Water or liquid damage

  • Negligence or reckless use

Gear Protection is not an insurance policy.

6. Batteries, Storage & Filming

All equipment is supplied charged and ready for use.

During your hire period, it is your responsibility to:

  • Monitor battery levels

  • Recharge batteries where required

  • Manage recording time and storage capacity

Flat batteries or full storage during your event are not considered equipment faults and are not grounds for refunds or re-edits.

7. Editing & Delivery

Editing begins once all equipment has been returned.

Delivery timeframes are estimates only and may vary during busy periods.

Our editing style is part of the Down Memory Lane experience and examples are available on our website and social media.

By booking with us, you acknowledge and accept our editing style.

We do not offer revisions based on:

  • Personal preference

  • Requests to recreate another creator’s style

  • Requests to include footage or moments not captured

However, we are happy to correct factual or technical errors where appropriate.

8. Raw Footage & File Storage

Where included in your package, raw footage and final videos will be delivered digitally via a download link.

Download links are temporary.

It is your responsibility to:

  • Download your files promptly

  • Save and back up your footage

We recommend downloading and backing up all files within 30 days of delivery.

After this period, footage may be permanently deleted from our systems without notice.

9. Marketing & Social Media Use

Unless you choose to opt out in writing before your event, you grant Down Memory Lane permission to use selected footage, stills, or edited clips for marketing and promotional purposes. This may include use on our website, social media platforms, advertising, and portfolio content.

We will never sell your footage or use full raw footage in marketing materials.

If you opt out of marketing use, we will respect your request and exclude your content from promotional use.

10. A Few Important Things to Know

  • All dates and timeframes are based on New Zealand time (NZST/NZDT)

  • Bookings cannot be transferred without written approval

  • Our full Terms of Service and Privacy Policy apply to all bookings

  • The person making the booking confirms they are authorised to book on behalf of all participants connected to the event
